What you will do
This is central to BELGATECH’s team and is varied and challenging.
It comprises the following tasks:
Administrative tasks
- Mail management (reception and distribution) and registered mail / packages / deliveries
- Archiving and/or destruction of documents
- Updating of documents
- Management of premises
- Supervision of office maintenance
- Tidying up and/or reorganising what needs to be tidied up
- Managing and setting up access badges
- Relationship with the owner
Reception
- Reception / welcoming of visitors
- Redirection of telephone calls
Purchasing
- Supplier management
- Ordering office supplies (water, office supplies, etc.)
HR Admin
- Creation / management of contracts and employee files in ERP
- Various memberships: DIMONA, LIMOSA, DKV, Vivium, Webmail, etc.
- Presentation of the Welcome Process to new employees
- Monitoring and updating of group and hospitalisation insurance amounts
- Management of work-related accidents
- Follow-up of company absences and coordination of medical check-ups
- Assistance with the follow-up of social files (social documents, entry/exit, training or educational leave, etc.)
- Preparation of single permit applications (VISA + work permit) and submission to the foreigners’ office, anticipation and follow-up of renewal applications
- Preparation of RSI applications, follow-up of calculations and annual meetings
- Creation of internship and VIE applications (and follow-up of Business France files)
- More generally, all tasks related to personnel administration (excluding payroll)
Fleet
- Contacting, negotiating with garages and leasers plus ordering vehicles
- Optimisation of the use of the vehicle fleet
- Operational follow-up of fuel cards, official correspondence (fines, etc.)
- Management of poolcars and parking spaces
- Establishment and updating of Car Policy
- More generally, all tasks related to company vehicles
- Knowledge of the BELGATECH performance policy
- Compliance with the BELGATECH quality management system, including knowledge and application of processes/procedures and use of templates/records
- Participation in internal/external audits and contribution to the resolution of corrective/improvement actions

- Excellent command of French and English (Dutch is a big plus!)
- Demonstrate dynamism, organisation, rigour and discretion
